TapState Cloud Subscription & Cancellation Policy
Last Updated: October 28, 2026
This document explains how TapState Cloud subscriptions work, including pricing, billing cycles, auto-renewal, trial periods, cancellation, and our refund position.
1. Subscription Tiers and Pricing
TapState Cloud offers three subscription tiers. All prices are in US Dollars (USD).
| Tier | Specification | Monthly Price | Trial |
|---|---|---|---|
| Starter | 2 vCPU / 8 GB RAM | $199 USD/month | 7-day free trial (no credit card required) |
| Professional | 4 vCPU / 16 GB RAM | $399 USD/month | No trial |
| Enterprise | 8 vCPU / 32 GB RAM | $799 USD/month | No trial |
1.1 Payment Methods
All payments are processed securely through Stripe. We accept:
- Credit cards
- Debit cards
1.2 Currency
All billing is in US Dollars (USD). We do not support multi-currency billing.
1.3 Taxes
Prices exclude taxes. Where applicable law requires us to collect sales tax, VAT, GST or a similar tax, it is shown at checkout and added to your invoice. You are responsible for any other taxes that apply to your purchase.
2. Trial Period
2.1 Starter Tier Trial
The Starter tier includes a 7-day free trial, with no credit card required to start the trial. No subscription fees are charged during the trial.
At the end of the trial:
- If you have added a valid payment method before the trial ends and your automatic-renewal authorization remains in effect, your existing subscription converts to a paid monthly subscription upon successful collection of the first payment. You continue using the same Cluster; you do not need to create a new subscription or reprovision the Cluster.
- If you have not added a payment method, your trial subscription is automatically cancelled and your Cluster is released. No subscription fees are charged.
- If you have cancelled automatic renewal, your trial ends at its scheduled expiration, your Cluster is released, and the subscription does not convert to a paid subscription.
Data retention and deletion following release are addressed separately in this Policy.
2.2 Professional and Enterprise Tiers
The Professional and Enterprise tiers do not offer free trials. A subscription begins immediately upon successful payment.
2.3 One Trial Per Organization
Each organization may start one Starter Cluster as a free trial without a payment method. Creating any additional Cluster, or a Cluster on a larger tier, requires a valid payment method at creation.
3. Billing Cycles
3.1 Monthly Billing
Subscriptions are billed on a monthly cycle. Your billing date is the anniversary of your subscription start date.
3.2 Automatic Renewal
Your subscription will automatically renew at the end of each billing cycle. Payment will be charged to your registered payment method.
Before each renewal, you will receive:
- At least 7 days' notice via email
- A notification within the TapState Cloud Console
3.3 What Happens If Payment Fails
If a renewal payment fails, your subscription becomes past due. We will notify you by email and retry the payment for a limited period while the Service remains available. If the payment is not completed within that period, the subscription is cancelled and your Cluster is released (Section 5).
4. Cancelling Your Subscription
4.1 How to Cancel
You can cancel your subscription at any time through the TapState Cloud Console under your subscription settings.
4.2 What Happens When You Cancel
Cancellation takes effect at the end of your current billing period. This means:
- You continue to have full access to the Service for the remainder of the period you've already paid for
- No partial refund is provided for the unused portion, except where required by applicable law
- Your subscription will be set to `cancel_at_period_end` — this is the standard behavior
- When the period ends, your instance will be automatically released
- Data handling follows Section 5 below; no post-release recovery period is guaranteed
4.3 Cancelling Mid-Trial
Cancelling a trial stops it from converting to a paid subscription. You keep access until the scheduled trial end, when your Cluster is released. If you have not added a payment method, you do not need to do anything: the trial ends automatically without charge.
5. Instance Release on Period End
When a subscription period ends (whether due to cancellation, trial expiration, or failed renewal), your service instance is automatically released:
- Your cloud compute and storage resources are terminated
- All running data pipelines are stopped
- You will receive a notification confirming the release
5.1 Data Handling After Release
- Customer-owned Atlas data: Releasing a TapState Cluster does not itself delete business data stored in your own MongoDB Atlas cluster. You remain responsible for managing and backing up that data and for the associated Atlas charges.
- TapState-managed Cluster data: Cluster configuration, runtime state, stored connection credentials and replication checkpoints are cleaned up as part of resource release. There is no guaranteed 14-day retrieval or recovery period after release. Arrange any necessary exports and backups before the Service ends; this provision does not promise an export or restore capability.
- Account, billing and support records: These records are retained separately for the purposes described in the Privacy Policy and as required by applicable law; Cluster release does not automatically delete all such records.
- Backup copies, if any: Residual copies are removed according to the applicable backup lifecycle, subject to legal retention requirements. They are not a customer recovery service, and we do not promise that every backup copy will be deleted within 14 days.
Nothing in this Section limits obligations under applicable data protection law or the Data Processing Addendum.
6. Refund Policy
TapState does not offer voluntary refunds.
Except where a refund is required by applicable law, all subscription fees are non-refundable, including:
- Subscriptions cancelled mid-cycle
- Subscriptions you forget to cancel before renewal
- Trial periods (no charges made)
Nothing in this Policy excludes or limits any refund entitlement or other right or remedy that cannot lawfully be excluded or limited under applicable law.
Why no voluntary refunds?
- Our pricing model is designed around monthly commitments
- Instance resources are dedicated for the full month when you start a subscription
- We do not offer partial usage or prorated access
If you are experiencing issues with the Service, please contact our support team at support@tapstate.com — we are committed to resolving technical problems promptly.
7. Downgrade and Upgrade
TapState currently does not support in-place tier changes (upgrade/downgrade). To change tiers:
- Cancel your current subscription
- Wait for the period to end (or release immediately by contacting support)
- Create a new subscription for your desired tier
